Urban Sketching Festival - Terms and Conditions

  1. The Urban Sketching Festival, hereinafter referred to as the “Festival”, is a cultural and artistic event organised by the Szkicownik bez Granic Foundation – a non-governmental non-profit organisation – in cooperation with the Tarnów Visual Arts Bureau (Biuro Wystaw Artystycznych w Tarnowie), a municipal cultural institution with legal personality, hereinafter jointly referred to as the “Organiser”, with the support of volunteers from the Urban Sketchers Poland group.
  2. The Festival takes place from 30 July to 2 August 2026 in Tarnów.
  3. The Organiser defines in these regulations, hereinafter referred to as the “Regulations”, the rules and conditions of participation in the Festival.
  4. The Festival is not a mass event within the meaning of the Act of 20 March 2009 on the Safety of Mass Events (Journal of Laws 2015, item 2139, as amended).
  5. Participation in ticketed Festival events is intended exclusively for adults (18+). Purchase of a ticket and participation in ticketed Festival events constitutes the participant’s declaration that they are at least 18 years old on the first day of the Festival. Persons under 18 are not permitted to participate in workshops. Open Festival events take place in public space and may be accessible to all interested persons, including minors, who may participate only under the supervision of their legal guardians.
  6. Participants are required to comply with these Regulations, safety rules, and instructions given by the Organiser, volunteers, and instructors. Participants take part in the Festival at their own risk. The Organiser is not responsible for any injury or damage to participants or their property arising from circumstances beyond the Organiser’s control.
  7. Purchase of a ticket entitles the holder to participate in the Festival to the extent specified in the description of the given ticket. Participation in workshops is subject to limited capacity and requires an appropriate ticket.
  8. In matters concerning ticket refunds or changes to the personal data on a ticket, participants are requested to contact the Organiser directly by e-mail szkicownikbezgranic@gmail.com until July 1st, 2026. Detailed rules regarding ticket sales, resignation and possible refunds are specified in the ticket sales regulations applicable on the ticketing platform through which the tickets are sold. Payments for tickets are processed via the Evenea platform using the PayU payment operator. Refunds are processed according to the rules defined by the Organiser, taking into account the timing of the request and the availability of places. Complaints regarding ticket purchases and participation in the Festival should be submitted to the Organiser by email. The Organiser will review and respond to complaints within 14 days.
  9. The data controller of Participants’ personal data is the Sketchbook Without Borders Foundation. Personal data is processed for the purpose of organizing, delivering, and managing participation in the Festival, in particular for registration, organizational communication, payment processing, and handling of complaints, in accordance with applicable law. Providing personal data is voluntary, but necessary for participation in the Festival.
  10. Festival participants are prohibited from:
    • conducting commercial, political or trade union activities or organising fundraising activities without the consent of the Organiser;
    • using narcotic drugs or psychotropic substances;
    • lighting or feeding fires and smoking tobacco.
  11. The Organiser may record the course of the Festival, including its participants, for the purposes of documentation, archiving and dissemination of information about artistic activities undertaken by the Organiser. These materials, including the image of participants and artworks created by them, may be published on the Organiser’s website and on the profiles of the Organiser, Urban Sketchers Poland and the Urban Sketchers organisation on social media and video-sharing platforms (e.g. YouTube, Instagram, Facebook).
  12. The Organiser may use such recordings or their fragments, including those containing the participant’s image, without time or territorial limitations and without the obligation to pay remuneration, on all fields of exploitation. Participation in Festival events constitutes the participant’s consent to the use, publication and processing of their image in photographs or video recordings made during the Festival.
  13. The scope of the Festival, including workshops and temporary exhibitions, may be limited by the Organiser due to circumstances beyond its control (including unfavourable weather conditions preventing the organisation of workshops), for reasons of participant safety or due to the legitimate interest of the Organiser. Limitation of the Festival’s scope does not constitute cancellation of the Festival.
  14. In the event of any changes in legal regulations or recommendations or guidelines issued by the Ministry of Culture and National Heritage, the Ministry of Development, the Chief Sanitary Inspector or the competent district sanitary inspector, these Regulations may be amended or supplemented, and Festival participants shall be obliged to comply with the updated Regulations.

Privacy Policy – Urban Sketching Festival

  1. Data Controller
    The data controller of Participants’ personal data is the Sketchbook Without Borders Foundation, based in Poland.
    For matters related to personal data, the Organizer can be contacted via the email address szkicownikbezgranic@gmail.com.
  2. Scope of personal data processed
    The following personal data may be processed:
    • first and last name,
    • email address,
    • data necessary for ticket purchase processing,
    • information related to participation in the event.
  3. Purposes of data processing
    Personal data is processed for the purpose of:
    • organizing and delivering the Festival of Urban Sketching,
    • handling registration and participation in events,
    • processing ticket payments,
    • organizational communication with Participants,
    • handling requests and complaints.
  4. Legal basis for processing
    Data is processed based on:
    • Article 6(1)(b) GDPR (performance of a contract – participation in the event),
    • Article 6(1)(c) GDPR (legal obligations),
    • Article 6(1)(f) GDPR (legitimate interest of the controller – event organization and communication).
  5. Data recipients
    Personal data may be shared with entities supporting the organization of the event, in particular:
    • the ticketing platform Evenea,
    • the payment operator PayU S.A.,
    • technical and hosting service providers.
    These entities process data in accordance with applicable law.
  6. Data retention period
    Personal data will be stored:
    • for the duration of the organization and delivery of the Festival,
    • and afterwards for the period required by law or until the expiry of potential claims.
  7. Rights of data subjects
    Participants have the right to:
    • access their data,
    • rectify their data,
    • erase their data,
    • restrict processing,
    • object to processing,
    • lodge a complaint with the President of the Personal Data Protection Office (Poland).
  8. Voluntary provision of data
    Providing personal data is voluntary, but necessary to participate in the Festival and purchase a ticket.
  9. Cookies and technical data
    The event website may use cookies for:
    • proper website functioning,
    • traffic analysis,
    • statistical purposes.
  10. Final provisions
    The Controller may update this Privacy Policy in the event of organizational or legal changes.
